What the Tool Creates

Each format is made from the same event details.

  • Calendar file (.ics)

A standard iCalendar file with your event, repeat and reminders. Most calendar apps can open or import it.

  • Several events in one file

Add events to a list and download them together, such as a class schedule or monthly bill reminders.

  • Email event card

The date, time, location and description, with optional add-to-calendar buttons, ready to paste into an email.

  • Online calendar links

Buttons that open Google Calendar or Outlook on the web with your event filled in.

  • Event QR code

A code with the event details as calendar text, as a PNG image or an SVG file.

  • File preview

See the exact text that goes into your .ics file before you download it.

How to Share an Event by Email

Send an event to clients, friends or your team in a format they can add to their calendar.

  1. Copy the card

Click Copy for Email in step 5.

  2. Paste it

Open a new email and paste with Ctrl+V, or Cmd+V on a Mac.

  3. Attach the file

Attach the .ics file you downloaded.

  4. Send

Recipients open the file or use the buttons in the card to add the event.

Ideas for Using It

Calendar events are useful for anything with a date.

  • Appointments. Send clients a file with the time, address and a reminder the day before.
  • Team meetings. Share a weekly meeting with the online meeting link included.
  • Webinars and classes. Put a session series in one file for attendees.
  • Bills and renewals. Set monthly or yearly reminders a few days before each due date.
  • Birthdays and anniversaries. Add yearly all-day events with a reminder.
  • Deadlines. Add a reminder a week before and a day before.

What Happens to Your Information

The builder runs in your web browser.

  • Not submitted. The form is not sent to a server, and nothing is stored.
  • Cleaned as you type. Hidden characters are removed, and links must be valid web addresses.
  • Online calendar buttons. These put your event details in a link to that service and open it only when you click.
  • Cleared when you leave. Refreshing or closing the page clears the form, so keep your .ics file.

Event Builder FAQ

What is an .ics file?

An .ics file, also called an iCalendar file, is a standard file format for calendar events. Most calendar apps can open it or import it and add the event to your calendar.

Is the Event Builder free?

Yes. It is free to use and does not require an account or sign-up.

Is my event sent to a server?

No. The form is not submitted anywhere. Your event is created in your web browser and your files are made on your own device. Nothing is stored, so refreshing or closing the page clears the form. The Google Calendar and Outlook buttons are the exception: they open that service in a new tab with your event details in the link, and only when you click them.

How do I add the event to my calendar?

Download the .ics file and open it. On most phones and computers, your calendar app offers to add the event. In calendar apps on the web, look for an Import option and choose the file. You can also use the Google Calendar or Outlook buttons to open that calendar with the event filled in.

How do I share an event with other people?

Click Copy for Email, paste the event card into a new email and attach the .ics file. Recipients can open the file or use the add-to-calendar buttons in the card. You can also share the QR code or send the .ics file in a message.

Will my reminders work?

Reminders are saved in the .ics file. Many calendar apps use them, but some apply their own default notifications instead when they import a file. Check the event in your calendar after you add it. Reminders are not included in the Google Calendar and Outlook links.

Can I make a repeating event?

Yes. Choose daily, every weekday, weekly, monthly or yearly, set how often it repeats, and choose whether it ends on a date, after a number of times or never.

How are time zones handled?

The builder uses your device's time zone unless you choose another one. One-time events are saved in universal time, so they appear at the right local time for everyone. Repeating events also include time zone information so they stay at the same local time when clocks change.

Can I put several events in one file?

Yes. Click Add to List after each event, then click Download List. All the events are saved in one .ics file, which is useful for a class schedule, a series of training sessions or a set of bill reminders.

What does the QR code do?

The QR code contains the event title, time and location as calendar text. Some phone cameras and QR code apps can add the event from it. Scan it with your own phone to check before you print or share it.

Can I edit an event later?

Yes. Keep your .ics file, click Open Event File and choose it. The first event in the file is filled in so you can change it and download a new file.
